Steps to building a successful relationship with your Virtual Assistant

Congratulations on finding the perfect Virtual Assistant! Now, what’s next?

While you may not share the same office—or even the same city or country—you can still build a successful working relationship with your Virtual Assistant (VA). Here are some key tips to ensure your partnership thrives.

1. Share Your Vision – To get the best out of your VA, it’s important to explain your business thoroughly and share your vision for the future. What are your goals? Where do you want to be in five years? The clearer your VA is on your direction, the better they can provide ideas and solutions that will help you in achieving your long-term plans.
2. Establish Trust – Trust is the basis of any strong relationship. Be upfront about how you prefer tasks to be completed. Setting clear and realistic boundaries from the start—along with a detailed task list and deadlines—ensures you’re both on the same page. Over time, as trust builds, you should feel confident that your Virtual Assistant can handle tasks with minimal oversight.
3. Flexibility is Key – It’s important to remember that your Virtual Assistant is also managing their own business and may have other clients. Try to remain flexible, especially with urgent work. While your Assistant will want to help, last-minute requests for next-day completion may not always be possible.
4. Communicate Openly and Often – Open, consistent communication is essential for a smooth working relationship. Set up regular check-ins, stick to your agreed-upon communication method, and don’t forget feedback—both positive and constructive. When giving feedback, especially on areas for improvement, offer clear examples to help guide them.  Remember to celebrate those wins!
5. Mutual Respect Goes a Long Way – Above all, respect your Assistant’s time and efforts. While they’re committed to helping you succeed, they don’t have a window into your thoughts, so a little patience and understanding can make all the difference.
